  • Administrative Support Specialist


    The University of Virginia Department of Engineering Systems and Environment (UVA ESE), seeks an Administrative Support Specialist. As the home to UVA's recognized undergraduate and graduate degree programs in civil and systems engineering, we are a leader in the study of human and socio-technical systems.     The administrative support specialist performs both technical and complex administrative projects as well as general clerical work in support of the day-to-day operations of the Department of Engineering Systems and Environment. Applies independent judgment in the completion of assignments which include handling promotion and tenure, reappointments, obtaining Visas for visiting scholars and coordinating faculty searches. May act as a lead to lower level administrative staff assigned to the department.

    The administrative support specialist performs advanced, diversified and confidential administrative duties requiring broad and comprehensive experience, competencies, and knowledge of organizational policies and practices. The incumbent must exercise discretion in handling confidential, sensitive, and timely information. Responsibilities include preparing meeting agendas and other correspondence, coordinating a busy and shifting office calendar, anticipating and preparing for leadership activity and meetings, taking initiative for tracking, compiling and preparing meeting agendas, attending meetings for purpose of recording, preparing, and distributing minutes and reports, and completing a variety of non-routine assignments.  This role will serve as the records manager for the department.

    Required Qualifications

    • High School Diploma, with at least one year of administrative assistant experience. Preference will be given to candidates with an associate degree.
    • Must have experience working Microsoft Office.
    • Must have excellent verbal and written communication skills.
    • Must be detailed-oriented with strong organizational skills and have the ability to manage multiple tasks in a busy environment.
    • Must have experience with managing calendars and coordinating appointments

    Physical Demands

    This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.

  • Lab Specialist


    The University of Virginia’s Department of Engineering Systems and Environment seeks applicants for  a Lab Specialist.  The Lab Specialist will support in-laboratory and field-based education and research, as well as facility management for the Department of Engineering Systems and Environment.

    The Lab Specialist will include basic preservation strategies for laboratory facilities such as repair, maintenance and upgrades of laboratory equipment, fabrication of special-use laboratory equipment and test fixtures, preparing experimental setups in collaboration with researchers, participation in field research activities, maintaining inventory of laboratory supplies for teaching and research. In addition to these laboratory focused activities, additional duties may include moving equipment, supplies, and furniture between laboratories, oversee laboratory maintenance, coordinate with UVA Facilities Management for departmental, order supplies and equipment, assist with field research activities, and manage hazardous waste and radioactive materials used in laboratories.

    Qualifications:

    • Bachelor’s degree with 6 years of experience in a lab role is required.  Master’s degree may substitute for required experience.  9 years of experience accepted in lieu of degree.
    • Preference will be given to candidates with a Civil/Mechanical Engineering Technology Degree or Associate’s or vocational/technical school degree in a related engineering field.
    • Must have computer skills in word processing, spreadsheets, and laboratory instrument control.
    • Must be able to lift 50 pounds on a regular basis and more than 50 pounds occasionally.
    • Prior experience in civil, mechanical, or environmental engineering testing and associated laboratory equipment is preferred.
    • Experience with hydraulic and servo-hydraulic systems, dust and vapor contact, and electro-mechanical repair and troubleshooting is preferred.
    • Preference for experience with machine shop equipment including welding, cutting and grinding of metals to fabricate various tools and equipment.
    • Experience with electronics testing, repair, and maintenance is a plus.

    The Student Services Coordinator will be responsible for advising students interested in study abroad programs, as well as offer a range of services in support of international students. Student Coordinators work independently to apply and interpret policy under the direction of academic leaders. They work to improve student processes and procedures, make recommendations, and implement changes. Student Services Coordinator may coordinate the work of others or supervise student staff.

    • Track current student records on academic progress and financial aid.
    • Answer student and faculty questions on a variety of processes including application, registration, financial statuses, and graduation requirements.
    • Maintain staff and academic calendars, according to approved appointments and changes from supervisors.
    • Work with faculty to schedule courses including coordinating appropriate time slots, room size and technology needs. Provide scheduling and clerical support for a dean or other senior personnel.
    • Update external website and internal intranet sites with student information, key dates, and events. Produce and update program brochures.
    • Assist in planning and conducting events such as diploma ceremonies, graduation, proposals and dissertation defenses, and student organization events. Basic, assigned responsibilities regarding event planning could include, but are not limited to, making reservations for spaces on or off Grounds, processing paperwork, setup, and break-down.
    • Provide reception and telephone services as necessary, serving as initial contact for students on a wide range of individual questions and referring to appropriate personnel when needed.
    • Provide program and registration support to prospective students in the international programs application and/or visa process. Keep updated records of current and past program enrollment and maintain evaluations.
    • Take a lead coordination role, acting more independently on details under the general direction of the Director of Operations.
    • Provide scheduling and clerical support for the Associate Director of Student Programs and the Program Directors.
    • To the lead on the student life cycle from interest in our programs to becoming an alumnus.
    • Develop new and innovative processes to make the student services team more efficient.
    • Take the lead coordinating program support to prospective students in the international program’s application and/or visa process. Keep updated records of current and past program enrollment and maintain evaluations.
    • In addition to the above job responsibilities, other duties may be assigned.

    Minimum Requirements

    • High school diploma.
    • At least two years of administrative support experience.
