How to Make a Reservation using your UVA Gmail Account

  1. Login to Google Calendar
  2. Add Calendars
    • Calendars are added one at a time, so complete the following for each calendar:
      • Click the plus sign beside “Other Calendars”
      • Select “From URL” from the list
      • Right-click the calendar name listed below, select "Copy link address" and paste it in the URL field and then click “Add calendar” button

      Please Note: You only need to add the Study Room calendar for the room that you want to reserve. However, it is best that you add all the calendars listed above so they will already be available as your “Other Calendars” for future room reservations and this will also allow you to see the availability of all the Olsson Hall Study Rooms.

  3. Create your event
    • In addition to setting your event details, you MUST invite the corresponding Google calendar ID of the room you want to reserve, listed below. Right click the Google calendar ID, select "Copy email address" and paste it in the event's "Add guests" field.

Study Room Features

  • Seating for up to 7 people.
  • Crestron Scheduling Panel located outside the room beside the door can be used to schedule the rooms in addition to using Google Calendar. Please note that sitting in a room that has an “Available” status on the control panel or doesn’t seem to be occupied does not guarantee you the use of the room, you must reserve the room in order to guarantee your use.
  • 55-in Dell Touchscreen Monitor
  • Zoom meetings can only be viewed and listened to using the room PC because a camera isn’t available. If your laptop has a webcam and microphone you will be able to interact with the joined Zoom meeting on your device only.
  • Windows 10 operating system.

Study Room Policy

  • No food or drinks are allowed.
  • The person reserving the room will be responsible for the room and its contents and will be held responsible for clean-up of the room before leaving, i.e. make sure any unplugged device is re-plugged, trash removal, removal of meeting materials, return of chairs and tables to their original position, the whiteboard left clear, etc.
  • Downloading and installing software is not allowed and any information saved to the computers will be deleted.
  • Turn off the lights before exiting the room.
  • Room use after 7:00 p.m. or on weekends will require you to have an UVA ID card to get into Olsson Hall after hours.
  • Rooms are not available for student reservations during home football games because Rice, Olsson and MEC buildings are used as safety zones.
  • If your meeting is cancelled, please cancel your reservation so that the room is free for others who might like to use it.
