Onboarding for REU Students

Welcome! We're looking forward to meeting you soon. Here is onboarding information for participants in the Advanced Materials REU.

2024 Cohort: May 28, 2024 thru August 2, 2024

 

Travel

Arrive May 28 between 9:00 am and 11:00 am to move into Bice House (583 Brandon Avenue, Charlottesville, VA 22904). Plan to depart August 2nd after lunch (or by noon August 3). 

Flying?  Fly into Charlottesville (CHO).  Take a taxi / Uber to Bice House. 

Driving?  You can unload your belongings at the Bice House

UVA Account Set-Up

Your computing account requires a background check.  You will receive an email (with UVA identifiers) from consentrequest@ainsight.com a few weeks prior to the start of the REU.  Please follow through asap with this request!  It can take 30 days.

You will need to submit a photo for your UVA ID online through the UVA ID office.   

In order to receive your stipend, you must register with Payment Works. You will receive an e-mail asking you to register. If you have not, please contact Bryana Amador

Stipend

You will receive $600 a week for your stipend. This amount will be paid as a lump sum at the beginning of the program. 

Food Allowance

A meal plan will be provided. We use the Elevate meal plan. 

Your room will have a refrigerator and stove if you choose to cook or buy prepared foods. 

Housing

2024 REU students will stay in Bice House on Brandon Avenue. You will share a same-sex suite with shared kitchen and bathroom with other REU students.

CHECK-IN/KEY PICK-UP:

You will be able to check in and get your key from your Profs. Green and/or Floro at Bice House on Tuesday 5/28 from 8am-12pm. If you cannot make it during those hours, please contact Bryana Amador to arrange an alternative time, and cc Prof. Green.

MOVE-IN AT BICE - UNLOADING:

Due to ongoing construction on Brandon Avenue, there is no direct access to the building to unload your belongings, and no adjacent parking. You will need to temporarily park in the loading zone at the end of Brandon Ave, quickly unload and then move your car. To make move-in easier for you, Conferences@UVA will do its best to have student staff on-site in front of Bond House (which is next door to Bice on Brandon Avenue) during your scheduled move-in time to help you unload your vehicle and deliver your belongings to your apartment. You will then need to move your car to the designated parking for your program.

If you cannot arrive during the time period when we have staff to assist, you will need to put your hazard lights on in your car, unload your car quickly making as many trips as you need to, and then promptly move your car to the E3 stadium parking lot. The loading area is a fire lane so you cannot park there except to off-load.

PARKING:

Parking is very limited at UVA and a digital permit is required. If you have a permit for your vehicle, the parking for your residence hall is located in the “E3” stadium parking lot, which is off of Whitehead Road. If you do not have a permit, you will need to contact Parking and Transportation during business hours Monday through Friday, 9am – 5pm at 434-924-7231.

KITCHEN

Your apartment has a full kitchen with refrigerator, oven/range, sink and microwave.  However, it does not come equipped with items to cook and eat with such as pots and pans, utensils, plates, glassware, etc. Toaster ovens and air fryers are prohibited. 

LINENS

The mattress in your room is an XL Twin. You will need to provide your own linens, blankets, pillows and bath towels.

TRASH & HOUSEKEEPING:

It is your responsibility to keep your apartment clean during your stay and to remove your trash regularly to the dumpsters outside your building. Housekeeping staff will not enter apartments while they are occupied. Should you need extra toilet paper and trash bags, those can be found in the Laundry Room.

LAUNDRY:

The laundry room is located in the basement of Bice. Laundry machines in undergraduate housing areas accept payment using the Speed Queen mobile app, which can be downloaded from the App Store or Google Play. After downloading the app and creating an account, guests will add the UVACAV Location Pin, and locate their laundry room to get started. Payment can be made by credit card, debit card, or by a UVA student’s Cavalier Advantage account to add funds to their Speed Queen account. A $10 minimum deposit is required. Current laundry machine fees are $1.75 per washer or dryer cycle.

Your mail will be delivered to the Bond House mailroom, adjacent to Bice. Your conference room card will give you access to the Bond House mailroom. Bond House mailroom hours are 5:30pm – 5pm, June 5 to August 4, Monday-Friday. The mailroom will be closed on Monday 6/19 and Tuesday 7/4 in observance of the Juneteenth and Independence Day holidays.

LOCKOUTS OR FACILITIES ISSUE?

If you get locked out during your stay this summer, or have any issues relating to facilities (plumbing, air conditioning, janitorial, etc) please call Systems Control at 434-924-3053.

Students from past REU's have recommended bringing a bike (although not required) and an umbrella.

Gym and Athletics

The REU does not provide a gym membership, but you may wish to purchase one.

You can purchase a 1-week, 2-week, or 1-month pass.

Please contact UVA Recreation and Intramural Sports about a pass to the AFC
