MSE uses Fed Ex for shipping. Forms can be found at the Wilsdorf Loading Dock, or you may contact Jamie Nixon, Tonya Reynolds, or Bryana Amador to complete your shipment online (this is often easier).
For Domestic shipping:
1. Fill out Package US Airbill form
2. Include the Worktag number in space #2 (your internal billing reference) of the FedEx airbill.
3. If you are charging to a research grant Worktag, you must provide additional information.
- You can download and print the Research Worktag Justification form or a hardcopy is in the mailroom.
- Also, if you click on the e-mail link below, you can include the information that way.
4. Please submit both the airbill and Research Worktag Justification form via e-mail to Jamia Nixon.
5. Schedule pick-up. You can call Fed Ex, or a staff member can help you do this.
6. Let package at the designated spot at the loading dock for pick-up.
For international shipping:
1. See Jamia Nixon to schedule the shipment online (this is easier than doing all of the forms yourself)
OR,
- Fill out International waybill
- Include the Worktag number in space #2 (your internal billing reference) of the FedEx airbill.
- If you are charging to a research grant Worktag, you must provide additional information.
- You can download and print the Research Worktag Justification form or a hardcopy is in the mailroom.
- Also, if you click on the e-mail link below, you can include and send the information that way.
4. Fill out and print Commercial Invoice (used for Customs). Hardcopies are available in the mailroom. Depending on what you are sending, you may have to provide other information.
5. Attach both to package

7. Schedule the pickup.

Fed Ex shipment of gas cylinder:
1. Contact EHS (if it is hazardous material).
2. Generate the label for a FedEx ground shipment (need package dimensions, recipient's address, package weight, etc). Bryana and Jamia can help with this if you do not have a Fed Ex account.
3. Schedule a pickup either during the label creation process or call and schedule a pickup over the phone using the department's FedEx account number to set the pickup address (Bryana and Jamia can help with this).
All reservations (other than classrooms) for Wilsdorf Hall and Jesser Hall will be reserved directly through your Outlook Room Calendars. Directions on how to reserve rooms using Outlook can be found here. Classrooms will remain reservable through The Source. Contact Bryana or Tonya for assistance with reserving a classroom. Students are now able to reserve meeting rooms and study spaces seven days a week from 12pm to 10pm. To reserve a space, please visit Student Space Reservations.

UVA uses an online system to manage visitor parking. UVA faculty, staff, and students still need to contact Parking and Transportation for long-term passes. Anticipated visitor parking permits should be activated by staff. Please contact Tonya Reynolds.

The MSE department maintains a wide format printer (54" max). Ideally, students will provide both PDF and PowerPoint versions to their designated print contact. You need your advisor's overhead (not research) Worktag to charge the cost (approximately $40-50).
Waiting until the last minute is highly discouraged. Please allow for a 24 hour turnaround.

Planning ahead is key to worry-free travel. See Jamia Nixon or Tonya Reynolds so that you can book your hotel, rental car, flights, train, etc ahead of time and have the expense placed on the T&E Card instead of your personal credit card. After traveling, please submit your reimbursement request in Workday if needed. For questions or support with anything travel-related, please see Jamia Nixon or Tonya Reynolds.
The copier-scanner resides in the MSE office suite.
SCANNING: You do not need a copy card to make scans. Scanned files larger than 10MB may not transmit correctly.
COPYING: Please use the education copy card to enter the code (see a staff member for the location).
The department requires laboratory safety training. Safety modules are available through EHS.

The Physics department offers both an electronics engineer and an electronic repair technician. Please see http://www.phys.virginia.edu/Administration/TSF/ for further information.
The department has dedicated web store for VMWARE products available free of charge to all MSE students, faculty and staff. You can request access by emailing ig@virginia.edu
